How do I customise reservation emails?

How to change the email that customers receive when placing an online reservation

Every time a customer places a request for a reservation online, they will receive an email, which you can customise.

Go to Configuration > Email Templates and click the pencil button next to the email template that you want to edit:

Email title

Sent in this instance

Reservation request acknowledgement email

Reservation request received at [CompanyName]

Sent to a customer after the reservation request is sent to POS, before it is accepted or rejected.

Reservation acceptance email

Reservation confirmed by [CompanyName]

Sent to a customer if the reservation is accepted on the POS.

Reservation rejection email

Reservation unavailable at [CompanyName]

Sent to a customer if the reservation is rejected on the POS.

If you cannot see any of these templates, click Create Default Email Templates > Add Missing Templates.

On the Email Template Details page, you will be able to change the general messaging of the email.

There are also dynamic placeholders which you move around, but you should not remove them.

Configuration > Email Templates > Details > Sender. Any responses will go to this email address.

Configuration > Email Templates > Details > Subject

Logo (displays as image icon)

Configuration > Company Profile > Logo (200px by 200px)

Configuration > Company Profile > Basic Info > Name. This will be overwritten by Reservations > Reservation Configuration > Settings > Alternate Company Name

Configuration > Company Profile > Contact > Primary > Address

[CompanyPhone]

Configuration > Company Profile > Contact > Primary > Phone Number > Office Phone

If you have a HQ account, log into the HQ account > Configuration > Company Profile > Logo

*These placeholders are set by the customer when they place a reservation, and cannot be edited by you.

After editing any details, click Save.
